Execute a complete, secure, and accelerated cutover migration from Google Workspace to Microsoft 365—transferring email, calendars, contacts, tasks, and files in a single coordinated effort with minimal business disruption and zero data loss.
When organizations decide to consolidate their productivity suite under Microsoft 365, a full cutover migration from Google Workspace offers the fastest path to cloud unification. Unlike incremental or IMAP-only approaches, this end-to-end service migrates the entire collaboration footprint—including Gmail messages, Google Calendar entries, Contacts, Tasks, and Google Drive content—into their native Microsoft 365 equivalents (Exchange Online, Outlook, OneDrive for Business, and SharePoint Online). Leveraging enterprise-grade migration tools and a meticulously orchestrated plan, we ensure data fidelity, metadata preservation, and user continuity, all within a defined cutover window. This service is ideal for companies seeking a clean break from Google Workspace with no coexistence period.
Scope of the Service
Our full cutover migration includes the comprehensive transfer of:
- Gmail messages (including labels, folders, and threading)
- Google Calendar events with attendees, reminders, and recurrence rules
- Google Contacts and contact groups
- Google Tasks and task lists
- Google Drive files and folder structures into OneDrive for Business and SharePoint Online
- User identity provisioning and license assignment in Microsoft 365
Note: If only email content is required, an IMAP-based migration is recommended as a lighter, more cost-effective alternative. This full cutover service is intended for organizations migrating the complete Google Workspace data set.
Migration Process
1. Project Initiation & Discovery
A kickoff meeting aligns stakeholders on timelines, success criteria, and roles. We then perform a health check of the Google Workspace environment—validating user counts, mailbox sizes, Drive storage usage, and IMAP/Calendar API accessibility.
2. Destination Environment Preparation
We configure the Microsoft 365 tenant by:
- Creating user accounts (via CSV import or AD Connect)
- Assigning appropriate licenses (Exchange Online, OneDrive, SharePoint)
- Validating domain ownership and preparing for MX cutover
3. Pre-Migration Validation
IMAP access, Calendar API, and Drive API permissions are confirmed for all users. High-risk accounts (executives, large mailboxes, complex folder hierarchies) are flagged for priority handling.
4. Data Migration Execution
Using specialized migration platforms (e.g., BitTitan, AvePoint, or Microsoft’s native tools), we perform a single-pass, full-content migration:
- Emails are migrated with original timestamps, sender/recipient info, and folder structure
- Calendar events retain invites, time zones, and recurrence patterns
- Drive files are transferred to OneDrive, with path and naming compliance enforced
5. MX Cutover & Final Validation
Upon data sync completion:
- MX records are updated to route inbound mail to Microsoft 365
- Users are instructed to stop using Google Workspace
- Final verification ensures all data is accessible and functional across Outlook, Teams, and OneDrive

Expected Results
- All Google Workspace data fully migrated to Microsoft 365
- Users access email, calendar, and files via Outlook and OneDrive
- Seamless send/receive functionality with primary domain
- Preserved collaboration history and metadata
- Operational Exchange Online Protection and transport rules
Limitations and Important Notes
- OneDrive for Business enforces a 260-character file path limit (including username and library name); longer paths from Google Drive may be truncated or require renaming
- File and folder names containing restricted characters (e.g., #, %, ~) or prohibited extensions (e.g., .tmp, .exe) will be automatically sanitized or excluded
- Google Workspace free-tier accounts are not supported; only paid Google Workspace subscriptions qualify
- Real-time co-authoring history and Google Docs comment threads may not fully translate to Microsoft 365 formats
Prerequisites
- Active Microsoft 365 tenant with Exchange Online and OneDrive licenses
- Administrative access to Google Workspace (Super Admin)
- Control over DNS zone for email domain
- All source data must reside in a paid Google Workspace account
- Target destination confirmed as OneDrive for Business per user
Success Criteria
- Users can access Exchange Online mailboxes from any device
- 100% of migrated Gmail, Calendar, Contacts, and Drive data is present and usable
- Transport rules (e.g., mail flow, journaling) function as designed
- Email sending/receiving operates without interruption post-cutover
- Exchange Online Protection actively filters spam and malware
Project Deliverables
Upon completion, we provide a comprehensive closeout report including:
- Final migration status and validation summary
- List of migrated users and data volumes
- Documentation of any exceptions or unresolved items
- Detailed financial reconciliation
Extended documentation (e.g., migration runbook, rollback guidance) is available upon request for an additional fee.
